Supporting EMR and EHR Environments in a Clinic

Every clinic depends on its EMR or EHR platform, and every clinic eventually runs into the same complaint: 'the system is slow today.' Diagnosing that complaint requires knowing where the software vendor's responsibility ends and where the surrounding IT environment begins. This guide lays out that boundary and what a properly supported EMR environment looks like.

The short answer

EMR and EHR IT support covers the infrastructure around the clinical software, meaning workstation performance, network connectivity, printing and scanning, and identity, while the EMR vendor remains responsible for the application itself, its updates, and any software defects. A well-run clinic keeps both relationships active and knows which one to call for a given problem.

Two support relationships, one clinical system

Every EMR or EHR deployment has two parties responsible for keeping it running: the software vendor and whoever manages the surrounding IT environment. The vendor owns bugs in the application, feature requests, licensing, and how the software itself behaves. The IT provider owns the servers, network, workstations, identity, and peripherals that the software runs on top of.

Confusing the two wastes time. A clinic that calls its IT provider about a genuine software bug waits on a fix that isn't theirs to make, and a clinic that calls its EMR vendor about a failing network switch gets bounced back just as fast. Clear escalation paths, documented ahead of time, save both.

Workstation performance: the most common complaint

'The EMR is slow' is almost always a workstation or network problem rather than a software one, because most EMR platforms are lightweight from the vendor's side. Common infrastructure causes include underpowered hardware running too many background processes, outdated drivers on scanners or card readers competing for resources, and workstations that haven't been rebooted or patched in weeks.

Connectivity: the part nobody notices until it fails

Cloud-hosted EMR platforms depend entirely on the clinic's internet connection, which means a business-grade connection with a failover option matters more than most owners realize. A single ISP outage on a busy afternoon can stop every provider in the building from charting.

Wired connections for exam-room and operatory workstations remain more reliable than Wi-Fi for anything running the primary clinical application, with Wi-Fi reserved for mobile devices, tablets, and guest access on a separate network segment.

Printing, scanning, and the peripheral fleet

Referral letters, consent forms, insurance documents, and lab requisitions all still involve printing and scanning in most Ontario clinics, and peripheral problems generate a disproportionate share of support tickets relative to how simple the devices seem. Print drivers going stale after a Windows update, network printers losing their static IP, and scan-to-folder paths breaking after a server migration are all common and all fixable at the infrastructure level rather than the EMR level.

A managed printer fleet with centrally deployed drivers and monitored toner and paper levels removes most of this friction before it becomes a mid-morning interruption.

Single sign-on and identity

Larger clinics and multi-site practices increasingly want staff to log into their workstation once and have that identity carry through to the EMR, email, and other clinical systems, rather than juggling separate logins for each. Single sign-on reduces password fatigue and, done properly, strengthens security because access can be revoked centrally the moment someone leaves.

Not every EMR platform supports modern SSO standards, and integrating identity providers with clinical software sometimes requires coordination between the IT provider and the EMR vendor to confirm what's actually supported. This is a good example of a project that touches both relationships at once.

Frequently asked questions

If our EMR is buggy, who do we call?

The EMR vendor. Software defects, feature requests, and application-level bugs are the vendor's responsibility. Your IT provider supports the environment the software runs in, not the application's code.

Can our IT provider speed up a slow EMR?

Often yes, because most slowness comes from workstation performance, network latency, or server load rather than the software itself. An IT provider can diagnose and fix those infrastructure causes, though a small number of slowdowns genuinely originate in the vendor's platform.

Do we need wired connections for every exam room?

Wired connections are generally more reliable for the primary EMR workstation, since Wi-Fi introduces variability that's harder to diagnose. Wi-Fi still has a place for tablets and mobile devices on a separate network segment.

Does single sign-on work with every EMR?

Not universally. Support for modern SSO standards varies by vendor and platform, so it's worth confirming with the EMR vendor before committing to a specific identity provider integration.
