Microsoft 365 Support

Microsoft 365 Support & Administration for Northern Ontario

End-to-end Microsoft 365 administration for Greater Sudbury and Northern Ontario businesses: tenant management, licensing, Exchange Online, Teams, SharePoint, OneDrive, MFA, conditional access, security hardening, and Microsoft 365 backup.

Serving Greater Sudbury, Northern Ontario, and surrounding communities. Remote support available throughout Ontario.

Microsoft 365 is the backbone of most modern businesses: email, files, chat, meetings, and identity. We administer it end-to-end so your team gets a stable, secure, well-licensed environment instead of a sprawling tenant nobody fully understands.

We handle the day-to-day (user setup, licensing, mailbox issues, sharing problems, Outlook profiles, Teams and OneDrive sync) and the strategic work (security baselines, MFA, conditional access, backup, migrations, license optimization) under one Ontario-based team.

For businesses across Greater Sudbury, North Bay, Parry Sound, Muskoka, Elliot Lake, Espanola, and the rest of Northern Ontario, we deliver Microsoft 365 as a managed service, not just as a one-time deployment left running forever with default settings.

Microsoft's native retention is not backup. We pair Microsoft 365 administration with independent SaaS backup, using Acronis Cyber Protect Cloud to store separate, restorable copies of Exchange Online, OneDrive, SharePoint, and Teams outside your tenant.

Why Microsoft 365 needs real administration

Microsoft 365 sold to SMBs looks turnkey, but the default tenant configuration is not secure, is often over- or under-licensed, and grows into a tangled mess without intentional design. Legacy authentication is often still enabled. MFA coverage is inconsistent. External sharing is wide open. Old accounts stay licensed and active long after staff leave. Admin roles get handed out casually.

Every one of those issues is a real, exploitable risk, and every one is straightforward to fix once someone with Microsoft 365 expertise takes ownership. That's what our Microsoft 365 service does: brings a chaotic or under-managed tenant to a documented, secure, appropriately-licensed baseline, and keeps it there.

Migrations done without downtime drama

Migrating to Microsoft 365 from Google Workspace, on-prem Exchange, or a hosted email provider is one of the most disruptive projects a small business can run, if it's done badly. We run migrations as staged, documented projects: pre-migration audit, coexistence planning, staged mailbox and file migration, DNS cutover during a low-impact window, Outlook and mobile reconfiguration, shared mailbox and distribution list mapping, and post-cutover cleanup.

Users log in the next morning to a working mailbox, a working Outlook, and the files they expect. That's the goal, and it's a boring outcome only because we plan for it.

Security, backup, and compliance, built in

Every Microsoft 365 engagement includes security as a first-class deliverable, not a scary upsell. MFA is enforced. Legacy auth is disabled. Conditional access is designed around real business patterns. Admin roles are hygienic. Mailbox auditing is on. Anti-phishing is tuned.

For regulated industries in Ontario, such as healthcare (PHIPA), legal, financial services, and accounting, we align sharing, retention, DLP, and audit logging with your compliance obligations, and produce documented evidence that you can hand to insurers, regulators, and enterprise clients running vendor security reviews.

Backup is separate from Microsoft's own service availability, so we deploy dedicated Microsoft 365 backup for Exchange, OneDrive, SharePoint, and Teams so ransomware, malicious deletion, and misconfigured retention policies don't erase your business data.

Our Microsoft 365 engagement process

Whether it's a new deployment, a migration, a cleanup project, or ongoing administration, the process follows the same disciplined shape.

  • Discovery: inventory your current email, files, licensing, MFA coverage, admin roles, and integrations
  • Design: target tenant structure, license mix, security baseline, and (for migrations) coexistence and cutover plan
  • Communication plan: a short, clear message to your team about what's changing, when, and who to call
  • Execution: staged migration, tenant hardening, MFA rollout, and Outlook / mobile reconfiguration on a low-impact window
  • Verification: post-cutover testing of mail flow, sharing, mobile, and shared mailboxes with sign-off before we call it done
  • Ongoing administration: day-to-day tenant admin, license optimization, quarterly security re-audits, and documented change history

Industries and platforms we integrate with

Microsoft 365 rarely lives alone. Most businesses run it alongside a line-of-business platform, such as a practice-management system, an ERP, a legal document-management tool, or an accounting suite, plus VoIP, CRM, and identity providers. We integrate Microsoft 365 with the platforms your business already runs, not against them.

  • Dental and medical practices: Dentrix, Tracker, ClearDent, PS Suite, and PHIPA-aligned mailbox and sharing configuration
  • Law firms: Clio, PCLaw, iManage, Worldox, and Law Society technology-baseline alignment
  • Accounting and bookkeeping: QuickBooks Online, Sage, Xero, TaxCycle, and secure client-file portals
  • Construction and field services: Procore, Buildertrend, Sage 100, and mobile crew access via Teams and SharePoint
  • Manufacturing and industrial: ERP integration, shared shop-floor documents, and controlled external supplier access
  • Non-profits and municipalities: nonprofit licensing (where eligible), records retention, and multi-committee Teams governance

Why a local Microsoft 365 partner beats an offshore admin

The Microsoft 365 partner ecosystem is enormous, but most SMBs get handed off to a support queue that never sees the inside of their tenant twice. That produces the tenants we're asked to clean up: seven admins, MFA on some accounts, conditional access half-configured, licenses assigned to people who left two years ago.

A local Ontario partner keeps the same team on your tenant. The engineer who configured your conditional access last quarter is the same one answering the ticket about it today. Documentation is current because the same people wrote it. And when something breaks, on-site cutover work and hardware handling happen from a Lively office, not from another continent.

Frequently asked questions

What does Microsoft 365 support cover?

End-to-end tenant administration: licensing, user provisioning, Exchange Online and Outlook, Teams, SharePoint, OneDrive, conditional access, MFA, security baselines, mailbox migrations, retention and compliance settings, and Microsoft 365 backup configuration. Both day-to-day tenant admin and strategic work like migrations, security hardening, and license optimization.

Can you migrate us from another email system to Microsoft 365?

Yes. We handle migrations from on-prem Exchange, Google Workspace / Gmail, IMAP/POP, and hosted Exchange providers, including DNS cutover, Outlook profile setup, mobile reconfiguration, shared mailbox and distribution list mapping, and archive migration. Migrations are planned around your business calendar to minimize downtime.

Do we need to back up Microsoft 365?

Yes. Microsoft replicates your data for service availability but they don't guarantee long-term protection from accidental deletion, ransomware, malicious insiders, or retention-policy errors. Microsoft's own service agreement recommends third-party backup. We deploy dedicated Microsoft 365 backup covering Exchange, OneDrive, SharePoint, and Teams data with documented retention.

Can you help if our Microsoft 365 setup is already messy?

Yes. A common engagement is a tenant cleanup audit covering licensing, security baselines, legacy auth, sharing settings, admin roles, guest access, and mailbox configuration, followed by a prioritized remediation plan you can execute with us or on your own. Cleanup projects usually pay for themselves in reduced licensing waste and reduced security risk.

Are we paying for the right Microsoft 365 licenses?

Often, no. Most SMBs are either over-licensed (paying for E3/E5 features they don't use) or under-licensed for security (missing Business Premium and its included Intune, Defender, and conditional access). We review your license mix against actual usage and needs and recommend the smallest change that gets you compliant and appropriately equipped.

Can you help us set up conditional access and MFA properly?

Yes. This is one of the highest-impact security improvements a business can make. We roll out phishing-resistant MFA, block legacy authentication, configure conditional access policies (device compliance, location, sign-in risk), and set up secure break-glass admin accounts. All documented so you can hand it to your insurer.

Do you support SharePoint and OneDrive rollouts without them sprawling out of control?

Yes. Uncontrolled SharePoint and OneDrive rollouts create a mess of duplicated files, uncontrolled external sharing, and shadow-IT sites. We design a structured information architecture, with Teams and SharePoint sites mapped to real business functions, sharing controls appropriate to sensitivity, and retention aligned with your obligations, before turning users loose.

Do you support Microsoft Teams calling and meeting rooms?

Yes. Teams Phone (calling plans, direct routing), Teams meeting rooms (MTR devices), Teams governance, and integration with existing PBX / Contact Centre platforms. If you're consolidating phones into Teams as part of a Microsoft 365 modernization, we run the design, procurement, and rollout.

How does Intune fit into Microsoft 365 device management?

Intune is Microsoft's device-management platform, included with Business Premium and above. We use it to enforce disk encryption, screen locks, app policies, and conditional-access device-compliance rules on Windows laptops and iOS / Android phones, so a lost or stolen device isn't a company-wide security incident. It's the difference between letting personal phones into your Microsoft 365 tenant and letting them in safely.

Do you provision new users, and offboard leavers, on our behalf?

Yes. New-hire provisioning includes licensing, mailbox, group memberships, shared mailbox and Teams access, MFA registration, and device enrolment. Offboarding is the same list in reverse, with documented steps: sign-in blocked, session tokens revoked, mailbox retained or converted to shared, OneDrive transferred to a manager, and license released. Every action is logged for audit purposes.

Can you configure Microsoft 365 for PHIPA, PIPEDA, or Law Society requirements?

Yes. We configure retention, DLP, sharing controls, audit logging, and encryption to align with PHIPA for health information, PIPEDA for personal information generally, and Law Society of Ontario technology expectations for legal professionals. Every configuration is documented so you can produce evidence to regulators, insurers, or enterprise clients running vendor security reviews.

Do you offer copilot, AI, and automation help inside Microsoft 365?

Yes. Once the tenant is secured and well-licensed, we help teams get real value out of Microsoft 365 features they're already paying for: SharePoint document libraries, Teams workflows, Power Automate flows, and where appropriate Microsoft 365 Copilot rollouts with the necessary data-governance and licensing groundwork in place.
