How Much Does Microsoft 365 Cost for a Small Business in Canada?
We do not quote Microsoft 365 licence prices in this article, and neither should any guide you're reading, because Microsoft updates its Canadian dollar pricing periodically and any figure printed here would go stale. What we can explain clearly is how the pricing model works, what changes your bill up or down, and where to find the current authoritative number.
Microsoft 365 for Canadian small businesses is priced per user per month in Canadian dollars, with an annual commitment typically costing less than paying month to month, and costs rising with add-ons such as Teams Phone, Defender, Entra ID P1, and third-party backup. The only reliable current pricing source is Microsoft's official Microsoft 365 pricing page, since published CAD rates change over time. Your real total cost also depends on migration, ongoing management, training, and how well licences are matched to actual usage.
How Microsoft 365 pricing actually works
Microsoft 365 for business is licensed per user per month, in Canadian dollars for Canadian customers, with pricing tiers moving from Business Basic through Standard to Premium, plus separate Enterprise plans for larger organizations. Each tier adds capability as covered in our Business Premium comparison, and the per-user rate increases at each step.
Annual versus monthly commitment
Microsoft offers an annual commitment billed monthly, an annual commitment paid upfront, and a month-to-month plan with no annual commitment. The month-to-month option carries a meaningful price premium in exchange for flexibility, while committing annually locks in a lower per-user rate but reduces your ability to shed licences mid-year if headcount drops.
- Annual commitment, paid monthly: lower rate than month-to-month, predictable cash flow
- Annual commitment, paid upfront: often the lowest per-user rate, larger single payment
- Month-to-month, no commitment: highest flexibility, highest per-user rate
Per-user licensing and mixed tiers
You are not required to put every employee on the same licence. Mixing tiers by role, for example Business Premium for finance and management while front-line staff run Business Basic, is standard practice and directly reduces total spend without weakening protection where it matters, a strategy discussed further in our Business Premium guide.

Get a Licensing RecommendationCommon add-ons that change your bill
Teams Phone
Adds calling plan functionality to Teams, replacing a traditional desk phone system, priced as a per-user add-on on top of your base Microsoft 365 licence.
Defender for Office 365 and Defender for Business (standalone)
If your base licence does not already include these (Business Basic and Standard do not), they can be purchased as standalone add-ons rather than upgrading the entire tenant to Premium.
Entra ID P1 (standalone)
Conditional Access can be added as a standalone Entra ID P1 licence for tenants not yet on Business Premium, useful when only a subset of users need it.
Third-party backup
Not a Microsoft add-on, but an essential line item. No Microsoft 365 licence tier includes true backup, so budget for a dedicated SaaS backup product separately, as explained in why Microsoft 365 backup is necessary.
Non-profit and education pricing
Microsoft offers discounted and, in some cases, no-cost licensing tiers for eligible non-profit and education organizations, at meaningfully lower rates than standard commercial pricing. Eligibility is verified through Microsoft's non-profit or education programs directly, and available features differ from the standard business tiers, so confirm current eligibility and inclusions on Microsoft's official program pages rather than assuming parity with commercial plans.
CSP versus buying direct
Small businesses can buy Microsoft 365 directly from Microsoft or through a Cloud Solution Provider (CSP) such as a managed IT provider. Direct billing puts licence management entirely on you. Buying through a CSP typically bundles licensing with setup, support, and proactive management, and can include CSP-specific promotional pricing, though the base per-user rate is set by Microsoft either way.
What drives your real cost beyond the licence line
| Cost driver | Why it matters |
|---|---|
| Licence tier match to actual role | Over-licensing quiet users on Premium wastes budget every month |
| Migration and initial setup | One-time cost for domain, mailbox, and file migration if moving from another platform |
| Ongoing tenant management | Security monitoring, patching policy, licence audits, and user support |
| Third-party backup | Not included in any Microsoft 365 tier, but essential |
| Add-ons (Teams Phone, standalone Defender, Entra P1) | Can add meaningfully to per-user cost if bolted on individually instead of via Premium |
| Training and adoption | Poor adoption of SharePoint or Teams leads to shadow IT and duplicated tools |
| Dormant licences | Departed staff or unused seats left active quietly inflate the monthly bill |
Where to find the actual current price
For a dated, authoritative Canadian dollar price on any Microsoft 365 plan, go to Microsoft's official Microsoft 365 pricing page directly. Any number printed in a blog post, including this one, should be treated as potentially outdated the moment Microsoft adjusts pricing.

Frequently asked questions
Why won't you list actual Microsoft 365 prices?
Microsoft updates Canadian dollar pricing periodically, so any figure published in an article can go stale quickly. Microsoft's official pricing page is the only source that stays current.
Is it cheaper to buy Microsoft 365 through a managed IT provider?
The base per-user rate is set by Microsoft either way, but buying through a Cloud Solution Provider often bundles setup, support, and management, and can include provider-specific promotions.
Does committing annually actually save money?
Yes, generally. An annual commitment, whether billed monthly or upfront, typically costs less per user than a month-to-month plan with no commitment, in exchange for reduced flexibility to drop licences mid-term.
Do all employees need the same Microsoft 365 licence?
No. Mixing tiers by role is common and reduces cost, for example running Business Premium for finance and management while front-line staff use Business Basic or Standard.
Is backup included in the Microsoft 365 price?
No. Backup is never included in any Microsoft 365 licence tier and needs to be budgeted separately as a third-party add-on.
Are non-profits eligible for discounted Microsoft 365 licensing?
Many are, through Microsoft's dedicated non-profit and education licensing programs, but eligibility and included features should be confirmed directly on Microsoft's program pages.
