For years, IT policy demanded strong, unique passwords that changed every 90 days. What people actually did was pick a base word and increment a number. Attackers know this. Modern guidance from NIST and Microsoft moved away from forced rotation in favour of long, unique passwords supported by a password manager and MFA.

  • "Users won't adopt it." — With a proper rollout and short training, adoption is typically fast because it makes daily work easier, not harder.
  • "We don't need one, we use MFA." — MFA and a password manager are complementary. MFA doesn't help if a reused password grants access to a system without MFA.

Are password managers actually safer than browser password storage?

Yes. Business password managers use stronger encryption, offer central visibility, support secure sharing, and don't sync your business credentials to a personal browser profile.

What happens if an employee leaves?

You revoke their access from the admin console immediately. Any shared vaults they had access to should also have their passwords rotated as part of offboarding.

Should personal and business vaults be mixed?

No. Keep them separate. Most business plans provide a personal free vault for employees so their personal credentials live outside the business tenant.

Does a password manager replace MFA?

No. MFA is still required on every critical account, especially Microsoft 365. They work together.
