Designing Business Wi-Fi That Actually Works
Businesses often try to solve Wi-Fi problems by buying a more expensive access point and hoping it fixes everything. Without proper design, an expensive access point in the wrong spot performs no better than a cheap one.
Reliable business Wi-Fi requires designing for both coverage (signal reaching every area) and capacity (enough access points to handle the actual number of devices), with access points placed and cabled deliberately rather than plugged in wherever is convenient.
Coverage and capacity are two different problems
Coverage means the signal physically reaches every area of the space. Capacity means there is enough wireless capacity to handle the number of devices actually using it at once. A single powerful access point can sometimes solve coverage in a small office and still fail on capacity once 20 phones, laptops, and headsets try to use it simultaneously during a busy morning.

Access point placement
- Map the physical space first, noting concrete walls, steel studs, and metal shelving that block signal.
- Plan for overlapping coverage rather than one access point trying to reach every corner.
- Place access points centrally in the areas people actually work, not just wherever a cable happens to reach.
- Account for multi-floor buildings separately; signal rarely travels well between floors.
- Ceiling-mounted placement generally performs better than wall-mounted for open office layouts.
Channel planning
Wireless channels are a shared, limited resource, especially in the 2.4 GHz band, which gets crowded quickly in office buildings surrounded by other businesses. Business access points should be configured to automatically select clean channels and push capable devices to the less congested 5 GHz or 6 GHz bands.

Guest Wi-Fi should never share the same network as staff devices, payment systems, or internal file access. Separating these networks, typically through VLANs enforced at the firewall, prevents a guest device from ever reaching internal systems and stops one guest's heavy usage from slowing down staff.

Cabling: the unglamorous part that matters most
Every access point needs a reliable, properly rated cable run back to a switch, and ideally Power over Ethernet (PoE) so it does not need a separate power outlet. Skimping on cabling quality or planning is one of the most common causes of flaky Wi-Fi that looks like a wireless problem but is actually a wired one.
