Microsoft 365 vs Google Workspace for Small Businesses
Microsoft 365 and Google Workspace are the two dominant productivity platforms for small businesses. Both handle email, file storage, video meetings, and document collaboration, but they take very different approaches. The short answer
For most established Canadian small and mid-sized businesses especially those running Windows PCs, Outlook, and any accounting or line-of-business software Microsoft 365 is the safer default. Google Workspace tends to fit newer, browser-first, or fully-remote teams that never developed a desktop-app workflow.
Neither platform is objectively better. The right choice depends on what your team already uses, what your industry expects, and how you handle security and compliance.
Apps and daily workflow
Microsoft 365
Full desktop versions of Outlook, Word, Excel, PowerPoint, and OneNote, plus web and mobile versions. Excel in particular remains the industry standard for accounting, finance, and analytics work.
Google Workspace

- Running both platforms in parallel long-term almost always creates confusion and higher licensing cost
- Ignoring Microsoft 365 backup or Google Vault, which are not the same thing as a real third-party backup
