IT Support for Real Estate Brokerages & Property Firms in Northern Ontario
Managed IT, cybersecurity, and Microsoft 365 for real estate brokerages, agent teams, and property-management firms across Greater Sudbury and Northern Ontario, built around mobile agents, wire-fraud-resistant financial workflows, and dependable in-office technology.
Serving Greater Sudbury, Northern Ontario, and surrounding communities. Remote support available throughout Ontario.
Real estate is a mobile-first industry with financial workflows that attackers actively target. Agents work from homes, cars, coffee shops, and open houses. Closing instructions and trust-account details move through email under time pressure. A single compromised mailbox can turn into a six-figure wire-fraud loss, a scenario that hits Ontario brokerages routinely.
Nickel City Tech Solutions provides IT support built around the operational realities of brokerages and property-management firms across Northern Ontario: dependable Microsoft 365 access from anywhere, MFA and endpoint controls that protect mobile agents, transaction document storage aligned with RECO record-keeping expectations, and, most importantly, a written, enforced verification discipline for closing instructions and banking changes that stops wire fraud at the human checkpoint.
Wire fraud: the number-one risk facing your brokerage
Every brokerage we onboard has either lost money to a real-estate wire fraud or knows a firm that has. The pattern is depressingly consistent: an agent's or broker's mailbox is compromised (usually because it had no MFA), the attacker quietly monitors an active transaction, and at the moment of closing they inject 'updated wire instructions' that route the buyer's funds to the wrong account.
The defence isn't just software; it's process. MFA on every mailbox stops the initial compromise. Anti-impersonation and DMARC catch look-alike domains. Inbox-rule monitoring catches the auto-forwarding rules attackers add to hide their activity. But the control that actually stops the fraud is a mandatory written rule that no change to closing instructions or trust-account details is ever accepted from email alone: verification happens by phone using a number the parties already have on file. We implement all four layers as a default for every managed brokerage.
- Phishing-resistant MFA on every mailbox: brokers, agents, admins
- Inbox-rule monitoring to catch attacker-added forwarding
- Anti-impersonation and DMARC alignment on your domain
- Written verification procedure for closing-instruction changes
- Impersonation-tagged email flagging on look-alike domains
- Documented incident-response plan when suspicious activity is caught
Mobile agents, secure Microsoft 365, and no more personal Gmail
Agents work everywhere except a desk. If IT makes the brokerage's sanctioned tools painful, agents will quietly default to personal Gmail, personal Dropbox, and WhatsApp, and brokerage-owned data goes with them.
We deploy Microsoft 365 with conditional access, encrypted laptops managed through Intune, and mobile-device management on phones (with a clear line between brokerage data and personal data). The result is that using the brokerage's tools is the easy path, not the annoying one. Agents get email, contacts, transaction documents, and calendars on every device, protected by MFA, with remote-wipe on the day they leave.
Transaction document retention aligned with RECO expectations
RECO expects brokerages to retain transaction records for defined periods, in a form that's accessible for audit or complaint review. We build that on SharePoint or OneDrive with proper version history, role-based access, immutable backup, and retention policies that meet or exceed the RECO record-keeping standard. When a records request lands, the file is retrievable, not lost in a departed agent's personal folder.
We don't provide RECO compliance certification (that rests with the brokerage), but the storage, access controls, and audit logs that support compliant record-keeping are core to how we deliver IT to brokerages.
In-office reliability: the front desk still matters
Even in a mobile-first industry, the brokerage office still needs to work. Signing rooms, MLS terminals, print/scan for closing packages, guest Wi-Fi for clients, and a phone system that actually routes calls. We deploy business-grade networking (Sophos or Meraki firewalls, managed Wi-Fi), reliable printing, and modern Teams-based calling so the office is a place agents choose to come in rather than avoid.

Frequently asked questions
Do you support brokerage-side technology like Lone Wolf, BrokerWOLF, and TREB/CREA integrations?
Yes, we support the IT environment around common brokerage platforms including Lone Wolf, BrokerWOLF, Broker Cloud, Skyslope, Dotloop, and MLS/CREA integrations. That means workstations, identity, backups, and network, not the platform itself. We work alongside your brokerage software vendor rather than replacing them.
How do you defend against real-estate wire fraud on closing?
Real estate is one of the most heavily targeted industries for wire-fraud. Attackers monitor deals through compromised mailboxes and inject fraudulent 'updated closing instructions' at the last minute. Our defence combines phishing-resistant MFA on every mailbox, inbox-rule and impersonation monitoring, DKIM/DMARC alignment on your domain, and, critically, a mandatory written out-of-band verification procedure for any change to closing instructions or trust-account details. When those layers are in place, the attack fails at the human checkpoint even if a mailbox is briefly compromised.
Can you support agents working from home, on the road, and in the office?
Yes, this is the default reality for real estate. Encrypted laptops with remote-wipe, secure Microsoft 365 access from anywhere, MFA on every account, and clear onboarding/offboarding when agents join or leave the brokerage. Agents can work productively from a listing appointment, a car, a home office, or the brokerage's front desk without workarounds.
What about RECO record-keeping and transaction file retention?
We build transaction file management on SharePoint or OneDrive with version history, permissioned access, and retention aligned with RECO record-keeping expectations. Signed offers, deposit records, and disclosure documents are archived immutably and remain retrievable for the required retention period. We do not provide RECO compliance certification (that rests with the brokerage), but we build the operational storage and access controls to support it.
Do you support property-management firms as well as brokerages?
Yes. Property-management firms have a similar profile: mobile staff, sensitive tenant and owner information, financial workflows, and dependencies on platforms like Buildium, AppFolio, Yardi, or Rent Manager. We support the IT environment around those platforms.
Can you help set up secure e-signature and document workflows?
Yes. DocuSign, Dotloop, and Authentisign integrate cleanly with Microsoft 365 identity when configured properly. We deploy them with MFA, audit logging, and access reviews so signed transaction documents stay associated with real, verified agents.
How do you handle agent turnover and offboarding?
Real estate agent turnover is higher than most industries. We build documented onboarding and offboarding playbooks: a departing agent loses email, transaction-platform access, and remote access on their last day, not next month. Scheduled access reviews confirm nobody is quietly retaining access after leaving.
Do you serve brokerages across Northern Ontario?
Yes. We support brokerages and property-management firms across Greater Sudbury (including Lively, Chelmsford, Hanmer, Valley East, Garson, Azilda, Coniston), North Bay, Espanola, Elliot Lake, Manitoulin Island, Sturgeon Falls, Parry Sound, and Sault Ste. Marie.
